PROjEN reaps the rewards of investment in IT

PM PROjEN, the award winning project management & professional engineering service company based at Northwich, Cheshire is realising the benefits of its major investment in Information Technology (IT).

Following a thorough review of its processes and IT systems PROjEN identified a series of requirements that were necessary to support the growth plans of the business.

The most significant change was the replacement of individual financial and project software packages with a single integrated system which could be accessed via the internet. The legacy systems were developed over a number of years and had served the company well, but were labour intensive, lacked integration and represented a performance improvement barrier.

Over 20 potential business systems were appraised and following a rigorous internal scoping exercise PROjEN selected Microsoft Dynamics AX.

ePartners, a Microsoft Gold Partner, with UK Headquarters in London were engaged as implementation consultants and towards the end of 2006 PROjEN announced the biggest single IT investment in its history of over £200,000.

The project objectives and benefits were identified as providing a single integrated system for all business transaction processing, thereby realizing efficiency gains and improving the accuracy and timeliness of management information.

Critical to a success of the project was the development and agreement of a detailed project definition document which tightly defined the scope of the project, the system configuration and reporting requirements.

The new system was ‘built’ and deployed in the early part of 2007 and following testing and training Dynamics AX went ‘live’, on-time, with all business transactions for the 2007 financial year being processed through the system.

As detailed in the project brief, additional reports were written and deployed using SQL Report Writing Services and were made available to Project Managers and Engineers through a secure internet connection.

The project scope was completed under budget and the company is now realising significant benefits from the investment.

Dave Elliott, Business Support Services Manager, commented, “The fully integrated nature of Dynamics AX is yielding many benefits. For example, we no longer need to reconcile different systems and the single point of data entry have both provided significant efficiency gains. Information is available quicker and more readily to those who need to access it wherever they work. Implementation of Dynamics AX has led to further improvements in project control and has allowed the company to rapidly analyse key performance data and improve decision making”.

The project has provided a firm foundation for future business development and growth – work has already begun to implement third party collaborative solutions utilising the Dynamics AX Web Portal and SharePoint Portal Services. This will result in more tightly integrated project teams with both client and supplier organisations being able to share project information in real time via the internet.

Reflecting on the success of the project John Taylor, Managing Director at PROjEN said, “Anyone who has been involved in a major IT implementation will be fully aware of the many pressures involved and the hurdles which need to be overcome. I am both pleased and grateful to the project team, e-partners and our network supplier nviron for delivering this project in a non-disruptive way. The fact that Dynamics AX is a Microsoft system and easily interfaces with Office packages such as Excel, Access and Project is already benefiting us by reducing the double handling of data. This will also benefit our clients as we introduce the web based SharePoint”
